How a project actually runs.
No discovery gauntlet, no pitch theatre, no invoice you didn’t expect. Here is exactly what happens between you sending a brief and you owning the finished work.
Five steps, start to finish
1. The brief — day zero
You tell us what you need. A filled-in form, an email, a voice note, a messy list of bullet points — all fine. We’d rather have a rough brief today than a polished one next month.
If something’s missing, we ask — usually three or four questions, sent in one message rather than dribbled out over a week.
What we need from you: what the thing is for, who it’s aimed at, when you need it, and any brand assets or existing material. What you don’t need: a formal RFP, a budget you’ve already justified internally, or a scheduled call.
2. Scope and quote — within one working day
You get a written scope document: the exact deliverables, the format they’ll arrive in, the number of revision rounds, the delivery date, and the price.
That price is fixed. If the project changes mid-flight — and projects do — we tell you what the change costs before we do it, and you decide. The number you approve at the start is the number on the invoice at the end.
Payment: 50% to start, 50% on delivery for project work. Retainers are billed monthly in advance.
3. First draft — early, deliberately
We show you work at roughly 40% complete. This is the step most vendors skip, and skipping it is why so many projects go sideways. A concept that’s wrong is cheap to fix at 40% and expensive at 95%.
For design: usually three to five slides or screens showing the direction, not the whole thing. For SEO and marketing: the strategy document and the first tranche of work, before we scale it.
4. Revisions — two rounds, inside the price
Two full revision rounds are included in every project price. A round means: you send consolidated feedback, we action all of it, you see the result. Batched feedback produces a better result than reactive patching, so we’ll ask you to collect it into one message.
Most projects use one and a half rounds. Additional rounds beyond two are quoted individually, and we tell you before the clock starts.
5. Handover — you own everything
Design projects are delivered as editable source files in the native format — PowerPoint, Figma, Illustrator, InDesign or Canva — plus exports in whatever formats you need, a folder structure that makes sense six months from now, and a short note covering fonts, colour codes and how to edit the things you’ll want to edit.
SEO and marketing projects hand over full ownership of every account, property and dashboard. Google Analytics, Search Console, ad accounts, email platform — all under your ownership, with us as users who can be removed in one click.
Nothing is locked, held or made deliberately hard to take elsewhere. If you leave, you leave with everything, and we’ll spend time walking your next vendor through it.
What a retainer month looks like
For SEO and marketing clients on monthly retainers, the rhythm is fixed so you always know where things stand.
- Week 1 — priorities agreed for the month, based on last month’s data. Short written plan.
- Weeks 1–4 — execution. Progress visible in a shared board — you can check any time without asking.
- Mid-month — a short written check-in. Anything urgent gets flagged immediately, not saved for the report.
- Month end — report: what we did, what happened, what it means, and what we’re changing next month. Plain English, no 40-page PDF of screenshots.
We won’t send you a report that celebrates a metric that doesn’t matter. If impressions doubled and enquiries didn’t move, the report says so and explains what we’re doing about it.
How we communicate
- Email or your tool. We’ll work in Slack, Teams, Trello, Notion, ClickUp or whatever you already use, rather than making you adopt ours.
- Fast replies on working days. If something will take longer, we tell you it will take longer rather than going quiet.
- Calls when they help, never as a gate. Many of our projects run without a single scheduled call. If you want weekly calls, we’ll do weekly calls.
- Decisions in writing. Anything agreed on a call gets summarised in a message afterwards, so nobody is relying on memory.
- Bad news early. If something’s slipping or an approach isn’t working, you hear it the day we know, not the week it’s due.
FAQ
How does the Orbits Digital process work?
Every project follows five steps: you send a brief, we return a fixed scope and price within one working day, we share a first draft at around 40% complete, you get two rounds of revisions inside the price, and we hand over editable source files and full account ownership. Payment is 50% upfront and 50% on delivery for projects, or monthly in advance for retainers.
How many revisions are included?
Two full revision rounds are included in every project price. A round means consolidated feedback actioned in one pass. Additional rounds are quoted and confirmed before starting, so extra revisions never appear as a surprise on an invoice.
Do I own the files and accounts at the end?
Yes, completely. Design projects are delivered with editable source files in their native format. SEO and marketing projects transfer full ownership of every analytics property, ad account and platform login to you, with us as removable users. We don’t hold assets to make leaving difficult.
Do I have to get on a call?
No. Many of our projects run entirely asynchronously through written briefs and shared folders. If you prefer calls, we schedule them inside your business hours. The choice is yours, and it doesn’t change the price.
What happens if I’m not happy with the first draft?
You tell us, and we change direction — that’s exactly why we show you work at 40% rather than 95%. A redirect at that stage costs nothing but a conversation. If after the first draft and one revision round you genuinely feel we’ve misunderstood the project, we’ll refund the balance and part on good terms.
